Route volunteer applications and donor enquiries

Send volunteers, donors and fundraisers to the right team, and give any decision about a volunteer to a person.

The Examples panel lists sample requests with their expected and decided outcomes. The sample request type is Support triage.

The incoming request

A sample request:

“I am a retired accountant and would be happy to help with your bookkeeping as a volunteer.”

People write to give time, money or goods, or to raise funds. Put the Public link on your “Get involved” page.

Set up the request type

Start from the Volunteer and donor enquiries template in the Nonprofits group. Its sample is a community charity.

Jev reads three signals:

  • Topic (pick one): Volunteering, Donations, Fundraising, Help for the writer or Other.
  • Crisis (yes or no): a risk to life, violence, a child at risk, or no safe place to sleep tonight.
  • Volunteer decision (yes or no): a request to be accepted or refused as a volunteer, an appeal, being under 18, a criminal record or a pending check.

Collect enough detail

  • “When could you help, and roughly how many hours a week?” for volunteers.
  • “What would you like to give?”: Money, Goods such as food or clothes, or Something else.
  • “Which event or fundraiser is this about?” for fundraisers.
  • “Which town or neighbourhood do you live in?” for people who ask for help.

Outcome Outcome reply
Sent to volunteering Yes
Sent to donations Yes
Sent to fundraising Yes
Sent to caseworkers Yes
Needs a person No

No rule turns a volunteer down. A request that needs a decision about a volunteer hands off, and your volunteer coordinator decides. The reply of Sent to volunteering says nothing is decided about a role yet.

The reply of Sent to donations tells donors not to send card or bank details. ClientStack takes no payment. Your donation page does that.

Test before publication

The template ships 19 synthetic examples, including a volunteer aged fifteen, a volunteer with an old conviction, and an appeal after a refusal. Each expects Needs a person. Select Replay, then Publish. Read help requests if people in need also write to you.
