Take in agency project briefs
Turn a prospective client's brief into a proposal route or a discovery call, and give an incomplete brief to a person.
Product screen with sample data. Intake is the previous working name.
The incoming request
A sample request:
“We need a new website for our bakery chain before the spring opening. Online ordering is a must. Budget is around EUR 15,000.”
Prospective clients of an agency send briefs of every length. Some name the goal, the scope, the budget and the date. Many name none of them. Put the Public link on your contact page.
Set up the request type
Start from the Quote requests template in the Sales group, and adapt it.
- Rename the option Indoor painting of the Service requested signal to your service, such as Website. Add options for your other services.
- Replace “Where is the work?” with “What is your budget?”, with your own ranges and an I am not sure option.
- Replace the size question with “When do you need it live?”, with your own ranges.
- Rename the outcomes: Standard quote becomes Fixed-price proposal, Quote after a visit becomes Discovery call, and Outside the service area becomes Outside our services.
- Add a yes or no signal named Brief incomplete. Its question asks whether the brief lacks a goal, a scope or a date.
- Add a condition to Hand off when: the chance of yes for Brief incomplete is at least 40%.
Then point Outcome for each answer, the overrides and Hand off when at your new answers. Checks lists any rule that still names a deleted question.
Collect enough detail
Use Ask when so a follow-up question appears only when the brief leaves it out. A brief that names its budget does not need the budget question.
Show why the request ended
| Outcome | Outcome reply |
|---|---|
| Fixed-price proposal (renamed) | Yes |
| Discovery call (renamed) | Yes |
| Outside our services (renamed) | Yes |
| Needs a person | No |
Rewrite every reply. Say what happens next and when, and do not quote a price you have not checked. An incomplete brief hands off. A person calls the client and fills in the gaps.
Test before publication
Add a complete brief, a brief with no budget, a brief for a service you do not offer, and “We need a project, details to follow.” The last expects Needs a person. Select Replay, then Publish.
